The office is located on Park Avenue in the mid-50’s and closed between Christmas and New Year’s. Great organization. This is a Hybrid role with Three (3) Days per Week in the Office (Mon, Tue, & Thu) and Two (2) Days per Week Remote/Virtual.
A renowned philanthropic nonprofit is looking for an experienced, administrative/clerical support professional to join its team as a Human Resources Assistant. Successful candidate(s) will perform various administrative duties and collaborate with all members of Human Resources. They will also work on a diverse set of department-specific responsibilities relating to Human Resources, Benefits, Recruiting, Training, Employee Engagement and Other Matters. As they will be privy to highly confidential matters, dedication to discretion and accuracy is required.
QUALIFICATIONS / SKILLS
- Bachelor’s degree is required.
- Three Plus (3+) years of administrative/clerical experience is required, preferably with data entry and record-keeping responsibilities.
- Advanced experience using Microsoft Office products: Word, Excel, PowerPoint, and Outlook are essential.
- Must be extremely well organized with outstanding attention to detail, accuracy and follow-through.
- Excellent written and verbal communication skills, and efficient and accurate data entry skills.
- Experience handling multiple schedules and accommodating individual preferences.
- Possess a growth mindset and openness to learn and take on new responsibilities over time.
DUTIES / RESPONSIBILITIES
- Provide general administrative support to Senior VP, Counsel, HR Consultant and Director, HR including phone support, calendar management and timekeeper reminders, drafting, filing, scanning and printing documents, and preparation of expenses.
- Perform administrative tasks, such as scheduling meetings, maintaining and creating various trackers, updating HR master calendar and general calendar management for the HR team, scanning in documents, and scheduling meetings and training sessions.
- Manage various HR record-keeping workstreams, including creating and maintaining hard copy and digital files.
- Create employee hard copy and online folders including transferring attachments from emails to their respective online folder (e.g. forms, acknowledgements/statements, jury duty summons).
- Manage labor law poster compliance, including keeping digital and physical postings up to date.
- Coordinate ongoing performance review process.
- Track professional development requests and generate annual report.
- Serve as a back-up for the Manager, Benefits and HR Administration and Recruiting and HR Coordinator.
- Input HR data into HRIS and trackers and generate requested reports.
- Assist with visitor registration, reception and coordination for HR team.
- Monitor HR mailboxes and forward emails, forms and documentation as attachments to applicable recipients.
- Contribute to the organization, set-up and execution of employee engagement initiatives including staff and other events as requested.
- Complete ad hoc project-based work, research and other long-term initiatives as they develop.
- Perform miscellaneous administrative and Human Resources tasks as assigned.
