Job Description
Top, Busy, Cosmetic and Medical Dermatology Practice on Manhattan’s Upper East Side is looking for an experienced and highly organized Office Practice Manager to join its Dynamic Team. This is a key leadership role within the practice, serving as the physician’s right-hand and overseeing all day-to-day operations to ensure efficiency, patient satisfaction, and continued growth.
Working Onsite Five (5) Days per Week. Basic Office Hours are 8am-6pm (Mon-Thu) and 8am-4pm (Fri).
REQUIREMENTS AND SKILLS
- Bachelor’s Degree is required.
- Minimum Three Plus (3+) years of Medical Practice Management Experience required; Five Plus (5+) years of Experience preferred.
- Strong leadership, communication, and problem-solving skills required.
- Excellent organizational skills with the ability to multitask and prioritize effectively required.
- Proficiency in Microsoft 365, EMR Systems, and Collaboration Tools (e.g., Slack) required.
- Knowledge of HIPAA Compliance and OSHA Regulations required.
- Project Management experience is a decided plus.
CORE RESPONSIBILITIES AND DUTIES
- Oversee daily operations of the practice to ensure smooth workflow.
- Supervise front desk staff and foster a positive, patient-centered culture.
- Act as escalation point for non-clinical patient concerns, collaborating with clinical leadership.
- Manage provider schedules and optimize patient flow to minimize gaps and reduce no-shows.
- Implement and maintain Standard Operating Procedures (SOPs) for appointment confirmations and documentation in EMR.
- Review next-day schedules and resolve outstanding issues.
- Manage front and back staff schedules. and PTO to ensure proper coverage.
- Coordinate daily financial processes, including end-of-day close, cash and mobile check deposits.
- Collaborate with bookkeepers and accountants to track budgets and financial performance.
- Ensure the practice environment is well-maintained and compliant.
- Manage relationships with building management and external vendors (e.g., cleaning services and building superintendent).
- Oversee maintenance and repair of medical and non-medical office equipment.
- Support staff with troubleshooting and operational challenges.
- Oversee inventory processes and ensure accurate tracking and compliance with protocols.
- Responsible for ordering non-clinical office supplies.
- Maintain provider licenses, certifications, and required documentation.
- Support leadership in strategic initiatives and practice growth.
- Coordinate internal events, staff recognition, and office culture efforts.
- Handle incoming inquiries related to scheduling, partnerships, and general practice communication.
- Assist with basic public relations and external communications.
