Job Description
A prestigious midtown law firm seeks an experienced, professional, proactive Legal Secretary with at least 3-5 plus years of experience in a law firm setting.
Job Responsibilities:
- Transcribe, prepare and manage correspondence
- Photocopy, scan and fax documents
- Draft new business/matter memos, engagement letters and editing such documents
- Apply styles using templates
- Organize and coordinate meetings, conference calls and travel arrangements
- Maintain schedules and Outlook calendars
- Arrange and confirm appointments
- Enter and edit attorney(s) time using Elite/3E or similar system
- Client billing
- Set up and maintain filing systems
- Screen calls and office visitors
Job Requirements:
- 3-5 years experience
- Proficient in spelling, punctuation, grammar and other English language skills
- Strong proficiency with proofreading
- Proficient in Microsoft Word, Outlook; Excel, Elite/3E
- IManage experience is preferred
- Exercise good judgment
- Ability to multi-task and prioritize workload, as well as anticipate the needs of assigned attorneys
- Active listener and ability to follow directions
- Strong attention to detail
- Articulate and polished when interacting with others and main professionalism under stress
- Diplomacy when interfacing with supervisors, subordinates, clients and vendors
- Demonstrates effective verbal, written, listening, and presentation communication skills
- Excellent telephone etiquette
- Ability to keep all information confidential
- Demonstrate organizational skills and exert effort to influence attorneys to be organized
To be successful the candidate must also present an above-and-beyond attitude and willingness to help others (i.e. other attorneys and secretaries as necessary as needed).
