Job Description
This position is responsible for ensuring all orders are processed in an accurate and timely manner. Expediting and tracking of shipments as well as ensuring that price discrepancies are resolved, and back orders are kept current is also key. This person will be working closely with designers, project managers, vendors, and accounting as well as with internal staff, vendors, and clients on unresolved issues.
Previous experience in purchasing within the interior design or hospitality industry specifically furniture, fixtures, and equipment procurement.
Main Responsibilities:
- Purchasing furniture, fixtures and equipment procurement for client interiors.
- Accurately enter purchase orders and sales orders according to contract, exhibit, proposal and change orders agreed to.
- Submit POs to vendors, review acknowledgements or confirmations.
- Address and resolve discrepancies.
- Review vendor payment terms.
- Process proforma invoices for payment.
- Create and update shipping reports.
- Monitor order progress and troubleshoot any issues that arise.
- Coordinate order deliveries according to project installation schedule.
- Obtain freight quotes.
- Receive and post vendor invoices.
- Invoice customers according to contract/proposal agreements.
- Follow purchasing procedures in accordance with company guidelines.
- Assist team in developing and implementing efficiencies, standardized tools, practices and procedures.

Minimum Qualifications:
- Purchasing experience: 2+ years in a fast-paced environment (Required).
- Microsoft Office – Excel, Word, and Outlook: 2+ years (Required).
- Prior experience using accounting / purchasing software: 2+ years (Required).
- Bachelor’s Degree (Preferred).
- Knowledge of furniture manufacturing industry experience
