Will look at a College Graduate with some Administrative/Professional Office Experience including Internships able to give a Two (2) year Commitment before going to Medical School or other Higher Medical Vocation School/Education.
One of Manhattan’s most high-profile, VIP, boutique and successful Dermatology Practices is looking for an experienced Medical Reception Supervisor to join its Team in a full-time, on-site leadership role. Serving as a key operational partner and right hand to the provider, this position oversees front desk operations, supports daily administrative and financial functions, and plays a critical role in ensuring an exceptional patient experience from check-in through check-out. The Medical Reception Supervisor collaborates closely with providers, accounting, and bookkeeping partners while managing staff, schedules, and workflow in a fast-paced clinical environment.

Working Onsite Five (5) Days per Week; 8:45am-EOD (typically 6pm, Mon-Thu -and- 5pm, Fri).
QUALIFICATIONS
- Bachelor’s Degree required.
- Some Administrative/Professional Office experience required.
- Excellent organizational, communication, and multitasking skills required.
- Proficiency with Microsoft Office Programs required.
PREFERRED QUALIFICATIONS
- Minimum Two (2) years of Medical Practice Office experience; Dermatology experience strongly preferred.
- Prior Supervisory or Leadership experience.
- Experience in a Cash-based or Concierge Practice strongly preferred.
- Strong understanding of Front Desk Operations, Patient Flow, and Financial processes.
- Proficiency with Scheduling Systems and Electronic Medical Records (EMR).
KEY RESPONSIBILITIES
Front Desk Operations and Patient Experience:
- Oversee and supervise daily front desk operations to ensure efficiency, accuracy, and exceptional patient service
- Provide backup support for reception staff as needed, including checking in and checking out patients
- Schedule and confirm patient appointments while maintaining optimal provider flow
- Ensure all patients are billed and payments are collected at the time of visit via cash, check, or credit card
- Serve as a point of escalation for patient concerns and front desk workflow issues
Staff Supervision and Office Culture:
- Serve as the primary administrative and operational support to the provider, managing day-to-day office needs and coordinating provider requests
- Maintain provider certifications, schedules, and licensing requirements for physicians and physician assistants
- Oversee front desk staff by supervising performance, providing training, supporting onboarding, and addressing workflow or personnel issues
- Manage office communications, including scheduling coordination, partnerships, and select external or public-facing correspondence
- Foster a positive office culture by supporting team development and coordinating office initiatives such as staff celebrations, holiday gifts, and provider support needs
Inventory, Facilities, and Vendor Management:
- Manage all nonclinical inventory including office supplies, retail products, and equipment
- Monitor inventory levels and place orders as needed
- Maintain vendor relationships, contracts, and service agreements
- Schedule office cleaning, maintenance, and repairs for medical and non-medical equipment
Operational & Financial Oversight:
- Reconcile daily credit card batches, end-of-day financial reports, and maintain accurate operational and financial records
- Collaborate with the bookkeeper and accountant to support invoicing, budgeting, payroll, and financial tracking
- Identify opportunities to improve workflows, patient experience, and ensure adherence to office policies and procedures
- Assist leadership with operational initiatives, special projects, and overall practice efficiency
